Unified meeting experience: creating a seamless and scalable platform

Unified meeting experience design for GoTo

In 2020, I played a key role in creating a unified meeting experience for GoTo’s suite of products, including GoToMeeting, GoToConnect, and GoToWebinar. This project aimed to consolidate disparate meeting interfaces into a cohesive platform while laying the groundwork for future scalability.

My contributions to the project

As a UX designer, I focused on delivering an intuitive, seamless, and scalable meeting experience by:

  • Setting priorities: Workshops, task ratings, and usability testing highlighted key areas for improvement, such as joining meetings, managing audio/video, and recording sessions.

  • Standardizing design elements: I unified inconsistent UI patterns, including meeting controls, top bars, and attendee panels, to create a cohesive user experience.

  • Designing for scalability: I developed an information architecture capable of supporting future features like polls, hand-raising, and expanded use cases across GoTo products.

Creating a seamless multi-platform experience

To ensure the new meeting experience worked across devices and platforms, I emphasized:

  • User testing: Workshops revealed issues like inconsistent iconography, view switching, and audio settings, which guided the redesign.

  • Responsive design: The platform was built to adapt smoothly to various devices and screen sizes.

  • Inclusive workflows: I accounted for different user scenarios, from unauthenticated guest access to advanced host controls, making the platform accessible to everyone.

Key successes and lessons learned

  • Enhanced user experience: Prioritizing tasks like joining and managing meetings addressed critical user needs.

  • Streamlined cohesion: A unified design language reduced complexity across products.

  • Scalable design: The platform’s flexible architecture supports additional features and future product integrations.

A key takeaway was balancing unification with minimal disruption, ensuring a smooth transition for existing users while introducing improvements.

Inclusive design principles

Inclusivity shaped the design process, with features like adaptive layouts, intuitive controls, and clear visual indicators ensuring accessibility for users with varying technical skills and devices. Consistent iconography and user-friendly pre-join flows made the platform approachable for all.

Overcoming challenges

Unifying designs across different systems while supporting diverse workflows required redesigning elements like the top bar and camera strip. Rapid iterations and cross-functional collaboration enabled us to create a flexible, user-centered solution that met immediate needs and long-term goals.

The unified meeting experience now provides a robust foundation for GoTo products, enhancing collaboration and supporting the platform’s growth.
